We currently have an exciting Purchasing Manager position open in Charlotte, NC. The Purchasing Manager is responsible for site selection, vendor contract negotiation, savings generation, budgeting, billing, and client management of assigned meetings. They will be responsible for managing meetings that require Purchasing Only and Contract Administration, and act as back up for Program Managers as necessary (full program manager duties).

Responsibilities Include:
Consult with Program Manager and Client during research of venues ensuring both client and program manager requirements are considered in meeting specifications.
Prepare preliminary budgets and communicate budgetary information to Program Manager and Client throughout the purchasing process.
Utilize preferred vendors for quality of service and maximum pricing advantage.
Maintain positive supplier relationships.
Initiate vendor contact for information and pricing on assigned meetings.
Maintain the highest level of quality, professionalism and integrity when negotiating with suppliers.
Negotiate all supplier contracts for the best possible prices and concessions in order to meet client’s expectation of 15% savings on meeting spend.
Keep vendors up-to-date on proposal status. Block appropriate space and release all space not needed on a timely basis.
Keep abreast of new destination options, well-priced seasonal destination options and “hot date” offerings.
Coordinate site inspections with suppliers, air and planning departments. Prepare appropriate site inspection material for clients.
Enter and update meeting information in meeting management technology. Keep database and savings information accurate.
Monitor hotel penalties for rebook opportunities.
Adhere to all deadlines and turnaround times.
Ensure internal and external reporting requirements are met.
Initiate client billing and invoicing.
Develop and maintain relationships with Meeting Hosts to ensure repeat and new business.
Consult with meeting clients and make appropriate suggestions to ensure meeting success.
Schedule turnover meeting with Program Manager and Client at the signing of the contract.
Act as backup for the Program Manager when they are traveling (full Program Manager duties).
Participate in strategic sourcing initiatives.
Assume and perform other duties and responsibilities not specifically outlined herein, but which are logically and properly inherent to the position.

Qualifications:
Minimum three (3) years purchasing/meeting planning experience
Proficient in Microsoft Word and Excel
College Degree strongly preferred
Knowledge of accounting and payment process
Travel industry and destination knowledge
